Program Administrator, Cities for Better Health - Houston
The Program Administrator is critical in supporting the execution and management of projects within the Cities for Better Health - Houston portfolio, with a special focus on the Faith & Diabetes Initiative and the Houston Diabetes Peer Support Network. This individual is responsible for day-to-day tasks that support program success, including managing supplies, tracking project timelines, managing resources, representing the Institute in community settings, such as meeting with program host organizations several times a month, communicating with stakeholders, and ensuring that programs run smoothly and efficiently. This role works closely with program managers, cross-functional teams, and external stakeholders to ensure all objectives are met and deliverables are achieved.

Key Responsibilities
Program Administration
Assist in developing and executing project plans. Monitor progress, resolve issues, and adjust timelines and resources as needed.
Support day-to-day operations of assigned programs, tracking milestones, and ensuring that program activities align with the overall objectives.
Program Promotion
Support the development of marketing materials to help promote the host organization and participant engagement.
Organize information sessions with stakeholders
Attend health fairs and other community events
Program Monitoring & Evaluation
Track project progress, monitor performance against KPIs (Key Performance Indicators), and adjust plans as needed. Ensure data collection and reporting systems are in place to evaluate the effectiveness and impact of diabetes program interventions.
Maintain accurate records of program activities, including budgets, schedules, and performance metrics. Generate and distribute regular status reports for internal and external stakeholders.
Regularly communicate project status to senior leadership, stakeholders, and team members. Prepare reports, presentations, and other communications to demonstrate program progress, challenges, and outcomes.
Compliance & Documentation:
Ensure all program activities comply with internal policies, procedures, and regulatory requirements. Assist with the preparation of reports, grants, and compliance documentation as needed.
Ensure that all projects comply with relevant healthcare regulations, quality standards, and organizational policies. Provide oversight to maintain high levels of program quality and integrity.
Identify areas for process improvement within the program and suggest best practices to increase efficiency and effectiveness.
Identify potential risks to the program’s success and work proactively to mitigate them. Provide recommendations to leadership for managing risks and resolving issues.

Work Environment:
This is a full-time position with the possibility of some remote work, depending on the program and team's needs. Occasional travel in Houston may be required for community outreach, partner meetings, or conferences.
Compensation and Benefits
Salary starting $50,000/yr - commensurate with experience

Qualifications
Bachelor’s degree in Healthcare Management, Public Health, Business Administration, or related field (Master’s preferred).
3+ years of experience in project management, with a focus on healthcare, chronic disease management, or public health programs. Experience with diabetes-related programs preferred.
Strong understanding of diabetes care, education, and healthcare systems.
Bilingual proficiency in English and Spanish
Excellent communication, interpersonal, and organizational skills.
Ability to work independently and make sound decisions under pressure.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Suite.
